BG HMS - Hospital Management System

Introduction:
Hospital Management System (HMS) is designed for small, medium and large sized hospitals, which covers wide range of hospital administration and management processes. It provides the consolidated patients data and relevant information across the hospital to support effective decision making for patient care, scheduling, operation theatre, billing etc in a faultless flow.

2. Objective:
This document serves to describe in brief, the features of Hospital Management System.

Scope:

  • The product is an integrated system for adding, storing, visualizing, editing, querying and retrieving patient medical records, cost of treatment and hospital inventory, patient bed allocation, operation theatre allocation, radiology system.
  • The system has facility to register patients with a unique ID Appointment scheduling, Outpatient Management, Inpatient Management, Billing are integral parts of the system.
  • The system provides the facility to generate customized reports for all  features.

3. Features overview:

a) Appointment scheduling:

This feature will enable to automate the registration and admission of Inpatients/ Outpatients/external patients. This will include details such as Name, Gender, Phone num, Date of Birth etc. User can specify Booking date, department and allocate the Doctor for the particular patient. A unique ID will be generated by the application for each registered patient. This feature includes Booking, Cancellation of Booking, Dynamic booking status
for bed allocation and Doctor Availability.

b) Out Patient (OP) management:
After the registration the patient comes to the consultation chamber, where the consultant will fill the information of services and charges the patient will be undergoing. Various prescriptions can be specified and saved. User can provide the charges for the services, can specify discount etc. The user can track the mode of payment and any due amount payment here. User can get the test reversal reports for the patient; can get discount reports and current outpatient reports. Salient features are,

  • Unique number for patient
  • Parameterized OP registration validity period
  • Capturing of demographic details of patients
  • Patient medical history recording
  • Patient investigation order raising
  • Reports of current out patients.

c) In Patient (IP) management:
The Inpatient feature commences when the patient is being registered and allotted a bed in the ward. It deals with the complete treatment and services provided to the patient during his stay in the hospital. User can capture various reports like Current inpatients, Bed status, Discharge register, IP prescribed service. Salient features are,

  • Bed allocation
  • Inter and Intra ward transfers

  • Booking of operation theatre
  • Drug requisition from Pharmacy

d) Billing:
The Billing feature facilitates the billing service personnel to summarize services and charges that are billed against a patient for which the hospital has paid, and to generate bills whenever the patients require. Salient features are,

e) Radiology:
The RADIOLOGY feature automates and maintains the details pertaining to the lab activities. The RADIOLOGY module deals with the maintenance of Registration, Result Entry, and Authorizations. Salient features are,

  • Information regarding X-ray
  • CT-Scan services and other radiology services.
  • Different type of tests, standard values, fixed values etc will be collected

f) Blood Bank:
This feature includes the operations related to blood bank in a hospital like, blood request, handling and tracking blood transfusions, external blood requisition etc. Salient features are,

  • Setup facility for blood banks, blood groups, components etc

g) Stores:
The Stores module is categorized into Stores Administration and Stores Management that provide needs of a full-fledged Inventory Management System. Stores Administration deals with the classification of items, nomenclature of items, definition of units, stores, manufacturers and suppliers, and categories drugs. It handles the procurement of both pharmaceutical and general items. Stores Management deals with transfer of items between stores, such as issue items to IP/OP Pharmacy, and issue drugs to patients and deal with external agencies to procure items. Salient features are,

  • Generate and raise purchase requisitions
  • Take delivery of quotations
  • Raise recommendations
  • Raise purchase order
  • Receive material from supplier
  • Process indents
  • Transfer material to sub-stores
  • Issue material for consumption

h) Operation Theatre:
This feature provides the information regarding operation theatre and the salient features are,

i) Pharmacy:
The Pharmacy feature automates the issue of drugs to Inpatients/Outpatients/ External Patients. This is used to generate indents, issue medical items to patients, accept returns, update the daily stock position and adjust the stock. The pharmacy related to outpatients will directly issue medicines to outpatients. But the pharmacy related to inpatients issues medicines to the wards in the name of inpatients. Salient features are,

j) Financial accounting:
The Financial Accounting module automates and maintains the details pertaining to the financial activities. The Financial Accounting module deals with the Company Master, Divisions, Accounts Groups, Cost Categories, and other relevant budgetary and financial aspects like Balance sheet, Trial Balance etc. Salient features are,

  • Maintain Hospital Account, Financial year definitions

  • Voucher generation like Bank payment, receipt, cash payment, cashreceipt, credit sales etc.

The Payroll module automates the salary and provident fund processing of employees of the hospital. The earnings and deductions (loss of pay) on account of over-time and leave respectively are also considered in salary calculation of employees. Salient features are,
